The Student Mapping Tool - Planning for Individual Differences and Support Programs. Designed by the BMLLEN and implemented by the Youth Transitions Division of DEECD and CASES21 staff.

The purpose of Student Mapping tool is to provide authorised school staff with a systematic process which may assist them to:

  • identify students at risk of early leaving
  • select and map appropriate interventions; and
  • evaluate selected interventions

A complete list of documents giving the background, the guide to extracting the data, how to get the most out of using the tool, and access to the Student Mapping Tool itself is available via:

  http://www.education.vic.gov.au/studentmappingtool

Listed below are updates of material on the DEECD website and extra resources.

A Guide to the Student Mapping Tool (v.3) This is a one page summary showing what the SMT is all about.

Example of data within the Student Mapping Tool v3.0

Sample of the Student Mapping Tool v.3.0

Please note the tabs at the bottom of the sheet for VASS and NAPLAN results. Check each of the tabs to see the details that have been downloaded from external websites, and are available for more detailed analysis. It is recommended that you add a filter to the headings across row 24 so that you can use the filter by colour function.

On the Master List of the SMT the NAPLAN results from 2009 for Yr.7 will show up as NAPLAN scores for the same students who are in Yr8 in 2010.

Use the cursor over the column headings for more details – even in the section for support programs.

The 6 stages of using the SMT. When people say they are using the Student Mapping Tool they are often referring to stages 1 and perhaps 2. Note that a more complete use will provide far more assistance to principals and staff of schools. Please check the DEECD website to see details of the six stages. Going beyond stage 2. Do you want to see how to enter more data in different ways? Use the SMT as a virtual filing cabinet?  Some of the more advanced uses are shown on the DEECD website.

SMT Data Analysis Sheet Enter numbers in a cell and the percentage will automatically appear. This sheet assists make sense of the data on a year level basis; taking each warning sign and matching intervention individually- assisted by an automatic whole-school tally. A set of guiding questions is included.

Strategic Planning and the Student Mapping Tool  This document shows how Principals can use the SMT for strategic plans and target setting, AND as a source of key questions to raise in seeking to improve outcomes for all students.

SMT data flow diagram This diagram shows the source of data that goes into the SMT, and hence the sources of error in the data. See also the DEECD website document on 'Level 2' which includes error messages that might appear during a 'refresh' of data- and what to do about them.

SMT Timeline  When do I use the Student Mapping Tool? A suggested timeline for 2010 on a month by month basis is shown.

Getting the Most From the Students At Risk Mapping Tool . Comments have been added to the DEECD website document based on feedback received to date.

Action Planning Guide sample . If you are having implementation difficulties this document (originally prepared by Deb Hull) is a useful checklist.

Sample of program coding . A large school realised they had many too support programs to list easily. By sensible grouping of programs and using a coding system within each heading they have a much better overview of what they are providing.

Attendance Ready Reckoner. Do you have a target for Attendance that is in number of days? Progress towards this target is not possible to check properly until the end of the year. If you believe in early intervention, and monitoring progress during the year, you need the target to be in percentage attendance. This table converts numbers of days absence into a more meaningful percentage attendance.

A copy of the Deb Hull and Doug Smith Presentation is available from here.

SMT & Wannik. These are the slides of the Deb Hull presentation relating to the implementation of the Wannik strategy aimed at improving outcomes for all Koorie students. (July - Sept. 2009)

The earlier presentations introducing the Mapping Tool in 2007 is shown below. The slides are still relevant for looking at students 'at risk' of leaving school early.
