The Student (or 'Students at Risk' or SAR) Mapping Tool - Planning for Individual Differences and Support Programs. Designed by the BMLLEN and implemented by the Youth Transitions Division of DEECD and CASES21 staff.

The purpose of Student Mapping tool is to provide authorised school staff with a systematic process which may assist them to:

  • identify students at risk of early leaving
  • select and map appropriate interventions; and
  • evaluate selected interventions

Please note: The review of the Mapping Tool emphasised the multiple uses of the Tool in addition to those above- including student management, student welfare, and school planning.

Student Mapping Tool -Preview Dec 2008 version . THIS IS FOR INFORMATION ONLY - THE NEW VERSION WILL NOT BE ABLE TO BE USED UNTIL THE CASES21 v45 UPGRADE IS INSTALLED IN SCHOOLS IN DECEMBER 2008.

It is recommended that users take note of the new headings and order in the 'salmon coloured', right hand side of the spreadsheet. Prior to the new version being released organise your existing use of columns into these headings as far as possible. The generic headings should be used to better link the data to categories of interventions (e.g. as shown in the work of Lamb and Rice) and to your school's Strategic Plan. It is possible to copy the new headings on the right hand side and paste them over your old headings, but do NOT try to use the left hand side columns where the data comes from CASE21. ALL extra columns e.g. extra data gathered and recorded by the school should be added to the right of the last column which has the heading 'FINALLY'.  Note that last column: no-one should move from school without a planned transition.  The new headings encourage schools to use a coding system (see example below) to enable you to group all similar interventions rather than using a separate column for each program.

The 6 stages of using the SMT. When people say they are using the Student Mapping Tool they are often referring to stages 1 and perhaps 2. Note that a more complete use will provide far more assistance to principals and staff of schools. Please check the DEECD website to see details of the six stages.

Going beyond stage 2. Do you want to see how to enter more data in different ways? Use the SMT as a virtual filing cabinet?  Some of the more advanced uses are shown in this document.

Getting the Most From the Students At Risk Mapping Tool . Comments have been added to the DEECD website document based on feedback received to date.

Sample of program coding . A large school realised they had many too support programs to list easily. By sensible grouping of programs and using a coding system within each heading they have a much better overview of what they are providing.

Western Youth Futures: Presentation Nov.2007 . Part of the presentation referred to looking at destination data in a different way. See the Smith Index (of 'desirable destination data') below. You can prepare a similar table for each school based on data sent via VASS  late in the year, or early in the new year.

Smith Index for WMR LLENs - the 'Desirable Destination Data'. This shows the destinations within each LLEN in the western region of Melbourne compared with the Victorian percentages. The data shows destinations by gender, GAT quartiles and SES quartiles.

For those wanting to see an example of the data in the Mapping Tool, you can download the attached sample which was used during the statewide presentations and workshops.

The Melton Community Learning Board is an example of what can happen when a community comes together to embrace the principles of life long learning. The establishment of a Community Learning Plan by a local government authority has set an example now being followed by other communities.

In Semester Two 2005, two units of study were undertaken as Praxis Inquiry by preservice secondary and primary teachers at Victoria University. The units: Social and Scientific Inquiry and Approaches to Writing, were designed to ‘interpret’ the Brimbank Melton “On Track” data. The  inquiry was designed so that as preservice  teachers they would develop a sense of Melton, its people and the history and legacies of the place. This is their report.
